Five year cost is the number that matters

One last budget line: training. Finance teams need real time in the system before month end, and partners usually bill for it by the hour. Ask how many hours are included, what a refresher costs later, and whether recorded sessions come with the project.
Ask about sandbox and support tiers too. A test environment is a separate line item, and premium support often is as well. Both are easy to overlook in the first quote and hard to add cheaply later, so price them before you sign rather than at renewal.
